1. Who We Are
Oaken is developed and operated by Alwin Yen (“we,” “our,” or “us”). We build AI-powered mobile games that help people become more confident, expressive communicators. Our app uses AI-driven coaching, structured practice modules, and character-based feedback to help you develop real communication skills.

2. Information We Collect
To provide our service, we collect the following categories of information:
Account Information
- Email address and password (used to create and manage your Oaken account via Firebase Authentication)
- Display name, if provided
Learning and Progress Data
- Module completion status and evaluation scores
- Written practice responses (Short Answer and Paragraph practice content you submit)
- AI-generated feedback tied to your practice sessions
- Pre- and post-module confidence self-assessments
Voice and Speech Data
- When you use voice-based practice features, your audio is transmitted to Google’s servers for transcription and immediately discarded after processing. We do not store audio recordings.
- The resulting text transcript and AI-generated speech analysis are saved to your account.
Technical and Diagnostic Data
- Crash reports and diagnostic error data (via Sentry) to help us identify and fix bugs
- Device type, operating system version, and app version
We do not collect location data, contacts, photos, or any data unrelated to your learning experience.
3. How We Use Your Information
We use the information we collect exclusively to:
- Provide and maintain the Oaken learning platform
- Personalize your learning experience based on your progress and performance
- Generate AI-powered feedback on your practice responses
- Track your progress across modules and over time
- Improve the quality, accuracy, and effectiveness of our AI coaching
- Identify and resolve technical issues through crash and diagnostic data
- Communicate with you about your account and service updates
We do not sell your personal information. We do not use your data for advertising or behavioral tracking.
4. AI Processing and Practice Content
Oaken uses AI to evaluate your practice responses and generate personalized feedback. Here is how that works:
- Your written responses and voice transcripts are sent to Google via the Gemini API for analysis and feedback generation.
- Google processes this content under their paid API terms. Under those terms, Google does not use your prompts or responses to train or fine-tune its AI models without your permission. Google may log inputs and outputs for a limited period solely for abuse monitoring and safety purposes.
- AI-generated feedback is saved to your account so you can review your progress over time.
- We do not send your name, email address, or any identifying account information to Google. Practice content is sent without personal identifiers.

5. Data Sharing
We only share your information with the following categories of service providers, and only to the extent necessary to operate our platform:
Firebase (Google)
Authentication, database (Firestore), file storage, and hosting. Firebase stores your account information, module progress, practice content, and AI feedback in the United States.
Google Gemini API
AI processing for feedback generation. Receives your practice content (text transcripts and written responses) without personal identifying information. See Section 4 for details.
Sentry
Crash reporting and error diagnostics. Receives anonymized technical error data to help us identify bugs. Does not receive your practice content or personal account information.
We do not use third-party advertising networks, behavioral analytics SDKs, or any data broker services. All data sharing is limited to operating the platform.
6. Data Retention
- Your account data, module progress, practice responses, and AI feedback are retained for as long as your account is active.
- Voice audio is never stored. Only the resulting text transcript is saved.
- Crash report data is retained for 90 days and then automatically purged by Sentry.
- If you delete your account, your personal data will be permanently removed from our systems within 30 days, except where retention is required by applicable law.
7. Your Rights
You have the following rights regarding your personal data:
- Access: You can request a copy of the personal data we hold about you.
- Correction: You can update your account information through the app settings.
- Deletion: You can request deletion of your account and all associated data by contacting us at business@oakenspeak.com. We will process your request within 30 days.
- Data Portability: You can request a copy of your learning data in a portable format.
- Withdraw Consent: You can withdraw consent for data processing by deleting your account.
GDPR Rights (EU Users): If you are located in the European Union, you have additional rights under GDPR, including the right to object to processing, restrict processing, and lodge a complaint with a supervisory authority.
CCPA Rights (California Users): If you are a California resident, you have the right to know what personal information we collect, request deletion, and opt out of the sale of your personal information. We do not sell personal information.
8. Data Security
We implement appropriate security measures to protect your personal information, including:
- Encryption of data in transit (HTTPS/TLS)
- Encrypted data storage via Firebase
- Access controls and authentication requirements
- Crash monitoring via Sentry to detect and address technical vulnerabilities
No method of transmission over the internet is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security. Please contact us immediately at business@oakenspeak.com if you suspect unauthorized access to your account.
9. Microphone Access
Oaken requests access to your device microphone to enable voice-based communication practice. Your audio is transmitted to Google’s servers for transcription and then immediately discarded. No audio file is stored on our systems.
You can manage microphone permissions at any time in your iOS Settings. Disabling microphone access will turn off voice practice features, but all other app functionality will remain available.
10. Children’s Privacy
Oaken is designed for users 13 years of age and older. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has created an account, please contact us at business@oakenspeak.com and we will delete that information promptly.
11. International Users
Oaken is operated from the United States. Your data is stored on servers located in the United States through Firebase (Google Cloud). By using Oaken, you consent to the transfer, storage, and processing of your data in the United States, which may have different data protection laws than your country of residence.
12. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify you of material changes by email or through a notice within the app. Your continued use of Oaken after changes are posted constitutes acceptance of the updated policy.
